Tracking your hours
Everything about the Track tab: sessions, totals, the weekly target, breaks, tasks, and correcting mistakes.
Checking in and out
The slide toggle on the Track tab starts and stops the clock. While you are checked in, a live timer shows how long the current session has run, and the browser tab title shows it too, so you can see it at a glance from another tab.
Each check-in and check-out pair is a session, and a day can hold as many as you need. Check out for lunch and back in afterwards, and Clockflux adds both sessions to the day’s total.
Daily and weekly totals
Your totals for today and for the week can be shown in two formats:
- Decimal hours, such as 7.75. This is the format most timesheets, payroll and invoicing tools ask for. Clockflux rounds each day to the nearest quarter hour in this format, so 7 h 50 min shows as 7.75.
- Hours and minutes, such as 7:50, which is the exact time to the minute.
Need to convert between the two by hand? The decimal hours converter does it, with a full minutes-to-decimal chart.
Your weekly target
Clockflux expects 8 hours on each working day, so a standard Monday-to-Friday week has a 40-hour target. Days you take off come out of it: a full day off removes 8 hours, a half day removes 4. With a Pro plan you can set your own daily target instead of 8 hours.
During the current week, Clockflux compares your hours with the target for the working days that have passed so far, not the whole week. On Wednesday evening, having worked 24 hours is right on track, and the week shows in green. Reach your daily or weekly target and Clockflux tells you so.
Hours above the target become overtime, which the Health view keeps a running balance of.
Taking breaks
Under the toggle, the ☕ Take a break button times a break while you are checked in. Press it again (it then shows End break and how long the break has run) when you are back. Below it, Clockflux shows the day’s breaks against your daily allowance, for example “Breaks 10 / 30 min · 20 min left”, or how many minutes you went over. While a break is running you can’t check out: end the break first.
Breaks are paid time inside your session, so taking one never lowers your hours. Set them up in Settings → Breaks:
- Daily breaks: the break time your contract gives you each day, from 0 to 30 minutes (for example 15 in the morning and 15 in the afternoon). It starts at 30. Set 0 to hide the break button.
- Add untaken breaks to my hours, off by default. Off, untaken breaks are simply lost, as with many employers, and your breaks are only shown. On, at the end of each workday the break time you didn’t take is added to your hours, and break time over your allowance is taken off. It applies from the day you turn it on, never to days before, and never to today until the day is over. Weekends and full days off get nothing, and a half day off gets half the allowance.
When that setting is on, the adjustment counts everywhere your hours do: the history, the week, your overtime balance and exports. Open a day in the history to see its breaks and what was added or taken off. Breaks are free, on every plan.
Tracking time per task
With Clockflux Pro you can track your hours per task, for example per client or project. In Settings → Tasks, set I track my time to Per task and add your tasks. You can rename them later, and archive the ones you’re done with: an archived task leaves the Track tab but keeps its hours. Each task also gets a colour, which marks it on the Track tab and in your totals; tap its swatch to pick another.
A Task picker then sits just under the toggle. Pick the task before you check in; the last task you used is already selected, and + New task adds one on the spot. You can’t check in until a task is chosen.
To change task while you work, pick another one: Clockflux checks you out of the current task and into the new one at the same moment, so each session belongs to one task. If you change it within a minute of checking in, Clockflux just corrects the task instead. Switching I track my time while checked in works the same way: the session goes on without a task, or on the task the picker offers. During a break the picker and that setting are locked, as checking out is, and the task you’re working on can’t be archived until you switch task or check out.
Under today’s total, Today by task shows the hours for each task, and each day in the history lists them too. In task mode a Tasks tab joins the tab bar: for this week, last week, this month, last month, this year or any dates you choose, it charts each day (each month, for longer periods) in your tasks’ colours, and lists every task’s hours and share of the total. Hover or tap a column to see that day’s hours per task. CSV and PDF exports gain a Tasks column too. These are the hours of your sessions: break time added or taken off at the end of the day counts for the day, not for a task.
Fixing a mistake
Open any day from the calendar to edit it. You can change a session’s check-in or check-out time, add a session you forgot to record, delete one, or mark the day as a day off.
Forgot to check out? If a session is still open from a previous day, Clockflux closes it at 21:00 that day (or at the end of the day, if you checked in after 21:00) rather than letting it run on. That day is flagged in the calendar so you can correct the check-out time to when you actually stopped.
